Reporting to the Private Client Director, the Private Client Executive plays a pivotal role in delivering a premium, end‑to‑end private client experience across our Scotch Portfolio. Working closely with the Private Client Director, the role supports strategic client engagement through the creation and management of bespoke proposals, samples, contractual documentation, and high‑touch communications, while also developing tools, templates, and processes that elevate service standards and operational efficiency. The position coordinates private client visits, events, and curated experiences, ensuring every touchpoint reflects brand values and heritage, and provides strong administrative and organisational support to maintain momentum, accuracy, and excellence across all private client activity.
Role Responsibilities
Client Engagement & Sales Support
- Manage the creation, issue, and tracking of bespoke client proposals, ensuring accuracy, clarity, and alignment with brand standards.
- Coordinate sample requests, ensuring timely fulfilment and a premium presentation.
- Prepare and issue Terms of Sale and other contractual documents, ensuring consistency and compliance.
- Maintain a high standard of communication with Private Clients, supporting the Director in nurturing relationships and responding to enquiries.
Tools, Assets & Process Development
- Develop and refine Private Client tools, templates, and assets, including proposal formats, sample kits, sales materials, and service guides.
- Collaborate with cross-functional teams to optimise internal workflows, ensuring smooth pipeline management and seamless information flow.
- Maintain and improve internal systems (CRM, trackers, documentation libraries) to support visibility and efficiency within the team.
Experience & Events
- Support the planning and delivery of Private Client events, activations, and curated experiences.
- Coordinate inbound client visits, ensuring all touchpoints—from welcome to departure—are elevated and on brand.
- Assist with the preparation of presentations, event collateral, hospitality, and internal team briefings.
Operational Excellence
- Manage administrative processes that underpin the Private Client function, ensuring all documentation, data, and systems are updated and accurate.
- Provide proactive support to the Private Client Director, helping prioritise workload, track actions, and maintain momentum across projects internally and externally.
- Support post-engagement follow-ups, ensuring clients receive timely updates, next steps, and service touchpoints.
Qualifications
Skills & Experience
Essential
- Proven experience in a customer‑focused, service‑led role (Brand Homes, ambassadorial, hospitality, sales support, account management, or similar).
- Strong brand affinity
- Strong organisational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Confident managing multiple deadlines and projects simultaneously.
- Experience working with internal systems and CRMs.
- A mindset geared toward continuous improvement and elevating client experience.
Desirable
- Experience supporting events, luxury experiences, or high‑touch client interactions.
- Background in premium or luxury service environments.
- Ability to design or enhance client‑facing materials (e.g., proposals, presentations).
